Cancellation & refund policy
- Operator:
- HBSL
- Effective date:
- 6 August 2026
This policy sets out when an engagement can be cancelled, what is payable when it is, and how refunds are handled. All amounts are in Indian Rupees.
Enquiries and proposals
Making an enquiry costs nothing. Discovery conversations and the proposal we write from them are free, and nothing is payable until you sign an engagement agreement or statement of work.
Cancelling an engagement
- Before work has started
- Cancel in writing at no charge. Any advance you have paid is refunded in full.
- After work has started
- Either party may end the engagement on 60 days’ written notice. Work completed and in progress up to the end of the notice period is payable, along with any third-party costs already committed on your behalf.
- If we cancel without cause
- You pay only for work completed to that point. We hand over everything produced so far, and we will not leave you without the credentials and documentation needed to continue elsewhere.
Advances, retainers and milestones
Where you have paid in advance and the engagement ends before that amount is earned, the unearned balance is refunded pro rata against the work actually delivered.
A milestone that has been delivered and accepted is not refundable. Acceptance is defined in the engagement agreement.
Retainers, maintenance and managed services
Ongoing arrangements can be ended by either party on 60 days’ written notice. Periods already begun are payable in full; whole periods paid for but not started are refunded.
If delivered work is defective
Report a defect in writing within 14 days of the milestone being delivered.
- Where the work does not meet the agreed specification, we correct it at no charge. This is the first remedy in every case.
- Where correction is not possible, or a reasonable second attempt fails, we refund the fee for the affected milestone.
- Changes you ask for that are outside the agreed specification are new work, quoted separately, not a defect.
Not refundable
- Milestones delivered and accepted.
- Third-party costs already incurred on your behalf and approved by you — software licences, cloud and hosting charges, app-store and domain fees, paid APIs.
- Work rendered unusable by a decision you took against our written advice.
- Time lost to information, access or approvals we were waiting on.
How refunds are paid
Refunds go back to the original payment method. Where that is not possible, we refund by bank transfer to an account in the paying party’s name.
- UPI and wallets
- 7 to 15 working days after we approve the refund.
- Cards and net banking
- 7 to 15 working days after we approve the refund.
